MHS Band Booster's Committees


Responsibilities Common to All Committees:
  • Submit a year-end report to the Band Boosters Board by the last day of school, summarizing committee activities for the school year. The report should also highlight any successes, lessons learned, and/or opportunities for improvement experienced or observed during the year. Reports are to be submitted by committee chairs.
  • Keep the Publicity and Phone Tree Committee up-to-date with information regarding committee functions and events to ensure timely communication to band students and families.

Committee: Ways and Means
Committee Duties: The duties of the Ways and Means Committee shall include, but not be limited to:
  • Develop a yearly schedule of activities, projects, services, trips, etc. which the band boosters will either sponsor or in some other way be involved.
  • List the activities/series by priority, with the number 1 being the top priority.
  • Devise, research, develop, and oversee the fund-raising projects necessary to provide adequate funds to support the needs of the Bands. Such projects shall be in keeping with the objectives of the organization and school policies.

Committee: Budget
Committee Duties: The duties of the Budget Committee shall include, but not be limited to:
  • Prepare an annual balanced budget for presentation to the Executive Board and Band Director.
  • Use the input from as many committees as possible in determining the budget.
  • Use the input from the committee chairs in determining priorities.
  • Present a budget for the next school year to be voted on at the May meeting of the membership at large.
  • Monitor the budget, prepare and submit any applicable and appropriate annual forms to the director, School Board and/or IRS
  • Put together a set of guidelines to help the Band Boosters run effectively and efficiently.

Committee: Chaperone
Committee Duties: The duties of the Chaperone Committee shall include but not be limited to:
  • Seeing that all arrangement, including travel, accommodations, itinerary, chaperones, rules and schedule among others are made for any time the band travels as a group.
  • Develop, distribute and collect all necessary sign-up forms, permission slips, medical releases, etc.
  • Decide on, announce and collect the trip/camp fee from students.
  • Have a deposit deadline/schedule for student trip/camp fees to be turned in.
  • At the request of the Band Directors, to arrange for sufficient adult chaperones for any function of the Bands for which such adult guidance is deemed by the Band Directors to be necessary.
  • Arranges for drinks for the Band and/or Color Guard students, instructional staff, and others, as appropriate, at away games, home games, and other functions

Committee: Hospitality
Committee Duties: The duties of the Hospitality Committee shall include but not be limited to:
  • Communicate with the Booster President, Band Director, Guard Director, and band staff to coordinate the efforts required for each event, including invitations, facility reservations, soliciting donations, and decorating the facility, etc.
  • Direct the efforts of volunteers during setup.
  • Coordinate social events, parent night, orientation night, Rookie Camp, middle school(s) band event(s) and any other non-fundraising event recommended by the Executive Committee or Band Director.
  • Coordinate with the Band Directors on meal times and locate volunteers to assist with the event
  • Follow guidelines set forth in the budget for expenditures and keep track of all receipts of purchases to turn in for reimbursement
  • Arrange for refreshments throughout the year as needed for competitions, concerts, special events, etc…
  • Maintain a list of food vendors, including contact names and phone numbers

Committee: Equipment and Transportation
Committee Duties: The duties of the Performance/Logistics Committee shall include but not be limited to:
  • To arrange for and provide transportation for equipment, etc. needed for all band events or performances.
  • To keep the equipment of the band in performance condition, and to be responsible for maintenance and transportation of such equipment.
  • Loads/unloads and transports large “non-marching” instruments, props and equipment to and from the field for all band performances.
  • responsible for scheduling rental trucks if needed.

Committee: Uniform
Committee Duties: The duties of the Uniform committee shall include but not be limited to:
  • Keeps the marching, casual and concert uniforms in performance condition, to be responsible for the proper cleaning, maintenance, and replacement as it becomes necessary of all equipment considered part of all uniforms.
  • Helping with the fitting and distribution of band uniforms.
  • Seeing that repairs to damaged uniforms are made.
  • Notifying the Budget Committee of future uniform needs in terms of new acquisition, damage, replacement, etc.
  • helping to develop and maintain a system of cataloging uniforms at the end of each school year and helping with the turn-in of uniforms at the end of each school year.
  • helping with the logistics of having the uniforms kept in a clean and orderly condition.

Committee: Publicity
Committee Duties: The duties of the Publicity Committee shall include but not be limited to:
  • Notifying booster members of all meetings.
  • Publicizing through various means (newspaper, television, radio, written notices, etc.) events/accomplishments/etc. of the band, the band boosters, and/or individual band members (awards, special camps, contests/festival results, FBA participants, etc.) when deemed appropriate by the President or Band Directors. This shall consist primarily of the Milton High School Band Boosters web site and accompanying communication systems. (A telephone chain shall exist as a back-up system.).
  • Notifying band parents of booster activities (especially fund raisers) and deadlines.
It is the responsibility of the Publicity Chairperson to maintain and update the MHS Band Boosters website.

Committee: Nominations
Committee Duties: The duties of the Nominations Committee shall include but not be limited to:
  • Receive all nominations.
  • Confirm member accepts nomination.
  • Report all nominees who did not decline their nomination at the February meeting.
Nominations will be accepted from the floor at the February and March meetings.

Committee: Corporate Sponsorship, Grants and Scholarships
Committee Duties: The duties of the Corporate Sponsorship, Grants and Scholarships Committee shall include but not be limited to:
  • Works year-round to solicit funds/donations from Local Businesses to support the Band Program.
  • Seeks out, researches and pursues any grants the Milton High School Band Boosters may qualify for.
  • Works with band directors to document grant dollars in action.
  • Fills out necessary forms or reports for grants received.
  • Updates scholarship requirements and applications, as well as reviewing all completed applications and selecting the recipient/s for the Annual Booster Scholarship awards.
Committee members may not have a student in the 12th grade.

Committee: Band Camp
Committee Duties: The duties of the Band Camp Committee shall include but not be limited to:
  • Prepares water cooler and watering students during “breaks”.
  • Administers minor first aid if needed during after-school evening rehearsals and Rookie Camp.
  • Works with the Band Director to plan, organize, prepare for and chaperone summer Band Camp.

Committee: Concession
Committee Duties: The duties of the Concession Committee shall include but not be limited to:
  • Be responsible for all phases of operating the concession stand at the football stadium.
  • Be responsible for getting workers to work in the concession stand at each home football game.
  • Assists with beverage service at concerts and banquets, as needed.

Committee: Band Banquet
Committee Duties: The duties of the Band Banquet Committee shall include but not be limited to:
  • Plans, coordinates and manages production of annual band banquet for Milton High School Band students.
  • Plans and coordinates theme, menu, decorations, program, and favors.
  • Coordinates collection of senior photos and bequeaths for senior tributes.
  • Designs and prints invitations and programs.
  • Invites appropriate honored guests, as requested by Band Director, Executive Committee or school administration.
  • Produces and sells tickets.
  • Coordinates production of slide show, provides screen and arranges for set-up of all required audio-visual equipment.
  • Secures photographer and DJ and obtains signed contracts.
  • Contacts Chaperones Committee chair to arrange for parent supervision of the event.

Committee: History and Recording
Committee Duties: The duties of the History and Recording Committee shall include but not be limited to:
  • Recording of all band events through photography, video or sound recordings.
  • Compile photos, videos, recordings into scrap-book to record the year’s events.
  • Develop a historical record of the Milton High School Band
  • Compile the end-of-the-year video for the band.
  • Coordinates professional audio recording of band concerts when requested by band directors.
  • Produce videos of band performances and sell them to parents. Designs, orders and sells CDs - audio of concerts and photo album. Facilitates delivery of CDs to parents and students.
This committee works with professional consultants to arrange the production of these "year in review" products.

Committee: Membership
Committee Duties: The duties of the Membership Committee shall include but not be limited to:
  • Seeing that an accurate and updated list of band booster membership is kept for use by any Executive Board member, and Nominating Committee to enable them to carry out the duties assigned to them.
  • To plan and implement a membership drive and survey in April of each school year.
  • Monitor attendance at meetings, including maintaining attendance records (for verification of voting status eligibility), payments of fees, required background checks for volunteers.
  • Maintaining roster of phone numbers.
  • Starting the call tree when information is required before functions such as booster meetings, performances, unexpected events, etc.
  • The purpose of the membership committee is to promote membership among all MHS band parents and participation within the community.
